1. Who we are

WILTOM ONE LOGISTICS (“WILTOM”, “we”, “us”) is a logistics company based in Schiffweiler, Saarland, Germany. You can contact us at logistics@wiltomone.com or +49 152 18483329.

2. What we collect

When you apply to become a WILTOM Agent we collect your contact details (full name, business name, address, email, telephone/WhatsApp), your proposed service area, the agent type you are applying for, vehicle information, experience and an estimate of your customer network.

If you are provisionally approved, we separately collect a copy of an official identity document (ID card, passport or driving licence) through a secure, protected verification page. You may cover or redact any information that is not needed for verification — we only need to confirm your full name and photograph.

3. How we use your data

• To assess and process your agent application.
• To verify your identity before final approval, if you are provisionally approved.
• To operate the Agent Portal, attribute bookings and calculate commission.
• To communicate with you about your application and agent relationship.
• To meet legal and regulatory obligations.

4. Identity-document security

Identity documents are uploaded only through the protected verification page, never through the public application form. They are stored separately from your application record and are accessible only to authorised WILTOM administrators. They are never shown to other agents or to the public. After an administrator verifies your identity, the uploaded copy is deleted; only the verification result, the verification date and an administrator audit record are retained.

5. Data retention

We keep your application data for as long as your agent relationship lasts and afterwards for as long as needed to meet legal, tax or accounting obligations. Identity-document copies are deleted after verification. You may ask us at any time what data we hold about you and request correction or deletion where legally permitted.

6. Sharing your data

We do not sell your data. We share it only with service providers who help us operate the programme (for example our hosting and email providers), and where required by law. Other agents can never see your application or identity data.

7. Your rights

Depending on where you live, you may have the right to access, correct, delete or restrict the use of your personal data, and to withdraw consent. To exercise any of these rights, contact us at logistics@wiltomone.com.

8. Security

We use secure, password-protected systems and role-based access controls. Only authorised administrators can access identity documents. Agent portal logins are rate-limited and audit-logged.
